How it works

Sign up to audit-ready — in seven steps.

Pick how you learn. Watch a short walkthrough of the actual app, or read the step-by-step from sign-up through your first audit-ready export.

01

Sign up. Create the org.

Enter ABN, business structure, your TPB registration type (BAS Agent, Tax Agent, Tax (Financial) Adviser), professional memberships (ICB, IPA, CPA, CA ANZ) and PI insurance details. The org is the root entity for everything that follows.

First month is free, no credit card.

Org setup screen
02

Bring your QMS Manual to life.

Onestop QMS auto-generates a manual from the org details, your services, your registers and your procedures. Replace placeholder sections with your own policies. Every save is versioned and audit-stamped.

QMS manual editor
03

Upload your existing documents.

Code of conduct, cyber policy, WHS, terms of engagement, privacy. Each document gets a version, an owner, an approval workflow and a review cadence. Old versions don't disappear — they're archived.

Document library
04

Set up the five registers.

Risk, incident, complaint, breach, conflict. Configure your risk categories, severity scales and SLA expectations. Seed with any open items already on your radar so day one isn't an empty register.

Register setup
05

Invite the team. Assign roles.

Admin, Compliance Officer, Staff, Auditor. Each role sees the right slice of the system. Configure mandatory sign-offs (code of conduct, cyber, WHS, conflict declarations) and the cadence at which staff need to re-affirm them.

06

Operate — let the system run the rhythm.

Day-to-day: staff log incidents on mobile, complete training, sign off mandatory items. Compliance officers review pending entries, approve documents, investigate breaches. Risks score themselves; complaints calculate SLAs; expiry alerts surface before lapses.

Compliance dashboard
07

Export the QMS, audit-ready.

Generate the QMS manual on demand. Export every register as PDF or CSV. Pull the audit log for any date range. The TPB asking "show me your QMS in operation" goes from a six-week project to a one-click PDF.

Production notes

A few standards across all 10 videos.

  • Hosting: upload to YouTube channel @onestopqms, embed via youtube-nocookie.com with ?rel=0.
  • Length: target 55-90 seconds each. Total walkthrough < 12 minutes.
  • Resolution: 1080p, 30fps. Web portal = 1920×1080 desktop capture. Mobile = portrait aspect, screen-record on iPhone with system audio.
  • Audio: single voiceover (founder), recorded after the screen capture. Lapel mic preferred. Minimal background music (or none).
  • Captions: upload an SRT — auto-captions are not enough for accessibility.
  • Visual style: brand violet/indigo/cyan accent on annotations. Same Inter Tight font for any title cards. End-card animation 5-7 seconds.
  • Test data: seed an org with realistic-looking dummy practice data — never real client info. Watermark "Demo data" if anything ambiguous appears.
  • Order of recording: 01-05 first (covers setup), 06-10 next (operations). Each video should reference the next one in its end card to keep viewers in the playlist.
